An invoice number identifies a particular invoice so the buyer and seller can match the bill, payment and records. A useful scheme is easy to search and avoids duplicates. Some tax regimes also require a sequential series with particular characters or lengths.
For a small business using one billing register, INV-0001, INV-0002 and onward is a practical starting point. Decide how you will handle financial years, multiple issuers and corrections before your first invoice is sent.

Do not put a customer’s sensitive information into an identifier. Avoid a format so long that the customer cannot enter it in a banking reference field.

What about drafts, gaps and mistakes?
An unsent draft is different from an issued invoice. You may choose to allocate final numbers only on issue, where that fits your system and local rules. This app can show a suggested number while editing; check it before sending.
If a number was reserved or an issued invoice was cancelled, keep a record of the reason. A gap does not by itself describe what happened, so document whether the item was a draft, voided document or correction.
For an error in an issued invoice, retain the original and follow the required correction procedure. A credit note adjusts charges where appropriate; it is not a universal way to fix every numbering or address error.
If you discover duplicate numbers, stop further issue in that series, identify all affected documents and seek the appropriate correction process. Do not silently rename one PDF after the customer has already used its reference.
Can I restart at the beginning of a year?
A year prefix can prevent a reset sequence from colliding with earlier records: INV-2026-0001 and INV-2027-0001 are different identifiers. Document whether the year is calendar or financial, and close the old series consistently.
For an India-style April-to-March year, INV/26-27/0001 indicates a different series from INV/27-28/0001. This example is fourteen characters including slashes and hyphen. Format alone does not establish GST compliance.
You do not need to change schemes just to look established. Choose a starting number that you can explain and maintain. If you migrate software, carry over the existing series or document where the new one begins.
