To make an invoice, identify the seller and customer, assign an invoice number, describe what you supplied, calculate the total, and state when and how to pay. Check it against the agreed price before sending it. The example below shows how the line items, deposit and balance fit together.

This guide is for freelancers and small businesses preparing an ordinary customer invoice. Tax invoices, exports and regulated transactions can need extra fields or a different submission process. A completed template is not a compliance certificate.

Gather these details before you start

Have the accepted quote or contract, customer billing details, service dates, any purchase order number, and your payment instructions ready. Ask the customer whether invoices go to a named person, an accounts-payable email or a supplier portal. A correct invoice can still be delayed if it never reaches the approval process.

Confirm the currency and whether the agreed prices include tax. A price of “1,000” is ambiguous if one party expects USD and the other expects INR, or if tax is added unexpectedly.

Make your invoice in eight steps

1. Identify your business and customer

Use the business or legal name that appears on the agreement, with an address and contact details. Add the customer’s billing name and address. Include registration details where your jurisdiction requires them. A logo is optional; accurate identity and contact information matter more.

For a company with several offices, confirm the entity that actually purchased the work. Use a separate delivery address if goods go somewhere else.

2. Assign a unique invoice number

Use an understandable sequence such as INV-2026-0042. Record that number in your invoice register and ask the customer to use it as the payment reference. Check our invoice numbering guide before choosing a yearly or client-based series.

3. Enter the issue date, supply date and due date

The issue date is when you issue the invoice. The service period or supply date explains what it covers. The due date follows your agreed terms; it is not always the supply date. Show an explicit date, such as “Payment due 19 October 2026,” rather than relying only on “Net 15.”

4. Describe each charge

List the item or service, quantity, unit rate and line amount. “Website maintenance, September 2026, 10 hours” is easier to approve than “Services.” If the agreed fee covers a milestone, name the milestone and reference the accepted quote. Separate approved extra work so the buyer can reconcile it.

5. Check discounts, tax and delivery charges

Calculate the subtotal first. Show any discount and the relevant taxable amounts, then the applicable tax and delivery charges. Do not add a tax just because a template includes it. Your registration, transaction and local rules determine what applies. For India, use the GST invoice format guide.

6. Show payments already received and the balance

Keep the invoice total distinct from the balance due. A deposit reduces what remains to be paid; it does not automatically reduce the price of the work or the taxable amount. Record the payment date and reference so you can explain the difference.

7. Add usable payment instructions

State the currency, payment method and reference to use. For a transfer, provide the account details required for that route. Check them before sending, and avoid adding information the customer does not need. Confirm later changes to bank details through a previously known contact channel.

8. Review, export and send

Compare the invoice with the agreement and preview the final document. A PDF preserves the layout for ordinary email billing. If your customer or jurisdiction requires a portal submission or structured e-invoice, follow that process as well. Keep a copy of what you sent and its submission date.

Worked example: invoice with a deposit

This fictional USD example has no tax, shipping or discount. It illustrates the arithmetic, not a tax treatment or market price.

Invoice INV-2026-0042 bills $1,150 of work. A $300 deposit leaves $850 due on 19 October 2026.
Illustrative invoice: the total records the work; the balance subtracts the payment already received. The amounts match the worked example below.

Invoice: INV-2026-0042 · Issued: 4 October 2026 · Due: 19 October 2026. Seller and buyer names and billing addresses would appear above these details.

Service Quantity Unit rate Amount
Website maintenance, September 2026 10 hours $80.00 $800.00
Approved landing-page update, quote QT-0031 1 project $350.00 $350.00
Subtotal and invoice total $1,150.00
Deposit received 20 September, reference DEP-31 $300.00
Balance due $850.00

The customer owes $850, while the invoice records $1,150 of work. Do not enter the $300 as both a discount and a payment; that would subtract it twice.

A sending email you can adapt

Subject: Invoice INV-2026-0042 — $850 due 19 October

Hi Sam,

Attached is invoice INV-2026-0042 for September maintenance and the approved landing-page update. The total is $1,150; after your $300 deposit, the balance is $850, due on 19 October 2026.

Thank you.

Attach the actual PDF before sending. The editor’s email action opens an email draft; it does not send the message or automatically attach your invoice.

Final checklist and corrections

  • Correct buyer entity, billing address and approval destination.
  • Invoice number checked against previously issued documents.
  • Agreed work, prices, currency, taxes and PO reference included.
  • Total, recorded payments and balance reconciled.
  • Due date matches the agreement; payment details are correct.
  • PDF or required submission format reviewed and archived.

If the customer finds an error after issue, preserve the original and follow the relevant correction process. Depending on the error and local rules, that may involve a corrected document or a credit note. Avoid silently replacing a previously sent invoice.

Using this invoice generator

Open the invoice generator, enter your details and items, then review taxes and payments. Save to Documents and export a PDF. Record actual receipts under Payments; the app does not check your bank account. Saved documents stay in this browser, so export a backup and retain the sent PDFs elsewhere for your records.

Official requirements to check

GOV.UK lists invoice particulars for UK businesses, including identity, invoice identification, supply details and amounts. VAT invoices have additional requirements. For India, consult CBIC’s invoice rules and current amendments. Use your own tax authority’s rules for other jurisdictions.
